Booking contracts and payments

What is covered in the booking contract?

The DJ, celebrity or musician booking contract is a simple document that sets out the terms of the booking.

It will include details of the performance or appearance, such as: the venue, the date, the time, how long the artist will perform, and how many sets there will be.

It will also include details of the expenses that you will be covering and the fee for the final booking. Expenses will usually include travel expenses, but depending on the location of the event, they may also include accommodation and visa application fees, for example. The terms of payment will be clearly set out in the contract too.

Details of the food and drink that you agree to provide will also be included in what is known as the hospitality rider. This might include full meals, or the artists’ preferred snacks and beverages.

If you are booking music acts or DJs, there will usually be a technical rider in the contract too. This stipulates the technical equipment that you will need to provide.

Finally, the contract will include the terms of cancellation. It sets out the costs involved if you cancel the event, or if the artist is unable to perform for any reason.

When will I need to pay a deposit for booking an artist?

We need to receive the booking deposit within 3 working days of you signing the booking contract. In most cases, the deposit is 50% of the total cost of the booking.

What happens if the artist is unable to perform?

If the artist is unable to reach the venue or to perform due to an ‘Act of God’ you are still liable for the full fee. However, in these situations we always do our best to schedule an alternative date so that you avoid any losses.

If an artist themselves cancels the booking, we will refund any monies paid to MN2S in full.

How do I make international payments to confirm bookings?

We accept bank transfers as well as payments via credit card, PayPal, Western Union and MoneyGram.

We will send you payment details with the final booking contract.

Booking music artists and DJs

When booking artists for events, how do I check their availability?

To check an artist’s availability, contact us directly. You can call us, email us or fill in a booking enquiry form online.

Once you make an enquiry about booking an artist for an event, the artist’s booking agent will contact you. We usually respond within an hour or two, and can confirm availability either immediately or within 24 hours.

If you can be flexible with your dates, please let us know in your initial booking enquiry and we can come back to you with a selection of possibilities. We will also check if the artist has any other shows scheduled in your region, which may reduce the cost of travel expenses.

In most cases, we can check an artist’s availability and confirm a booking up to 12 months in advance. We can very rarely take bookings more than a year in advance.

Like most entertainment booking agents, we are unable to show artists’ availability online. This is because their availability is not just dependant on their existing bookings, but on the location of those bookings. As a global entertainment booking agency many of our artists travel extensively, which means we need to consider travel and time zones when arranging bookings.

What is the process for booking a music artist, DJ or personality?

To book an artist, DJ or celebrity call us, email us or fill in a booking enquiry form. You can find the direct contact details for each artist’s booking agent on their MN2S bio page.

In your initial booking enquiry, if you can, tell us about the venue, location, type of event, and your preferred dates.

Once you send an enquiry about booking an artist for an event, one of our agents will contact you. We usually respond within an hour or two, and will definitely be in contact within 24 hours.

If the artist is available for your dates, we will then send you a booking form. Once you complete the form, we can confirm whether the booking is possible. In some instances we may need to speak to the artist first. We will then discuss the details of your booking with you. For example, if you are booking music acts, we will need to discuss the technical requirements.

Once you are happy with the details of the booking, we will issue you with a short contract. The booking is confirmed once we receive a signed copy of the contract and a booking deposit.

The deposit for booking an artist is usually 50% of the total fee. It is payable within 3 working days of the contract being signed.

We can often confirm a booking and finalise the contract on the same day that you make the enquiry.

What type of artists and personalities do you have on your rosters?

MN2S is a global music management agency – organizing tours, bookings and events in over 120 countries. We manage worldwide bookings for a very broad range of music artists and celebrities who are based mainly, but not exclusively, in the UK, USA and Europe.

We started as a DJ booking agency in the late 1990s, but rapidly evolved into a talent and live music agency too. Today, we are booking agents for rappers, DJs, bands and vocalists. Our artists represent more than 40 genres of music, from acid house to world, and everything in between.

We are also celebrity agents, and we have a talent roster of international sports, media and entertainment personalities who are available to hire for personal appearances, media engagements, PR and endorsement campaigns.

On our rosters we have internationally known artists and DJs, some of whom have been established for years. Alongside them we have up-and-coming artists who are being spoken about on underground music scenes, or who are just breaking into the mainstream. We like to keep our rosters diverse and we regularly sign and promote new artists.

Do you take bookings for events outside the UK and USA?

Yes we manage bookings globally. Our artists have performed in more than 120 countries. We organize all the logistics for international bookings, including travel, accommodation and visas.

Do you accept corporate or charity bookings?

Yes, we do. We are a live music agency, event DJ agency and celebrities agent, and regularly take corporate and charity bookings for live music acts, DJs, celebrity speakers and guest appearances. Our artists and celebrities have performed and appeared at all types of events, including private parties, charity fundraisers, product launches, corporate events and award ceremonies.

Our booking agents will be more than happy to discuss event fundraiser or corporate entertainment ideas or to help you to find a DJ, act or personality that meets your requirements.

We do not offer a standard charity discount and we do not take requests for free performances or appearances. Most of our artists already support a number of chosen charities, and many of them are inundated with requests to appear for free. In most cases this is not viable, and due to the number of requests for free appearances that we receive, we cannot respond to them all.

However, if you are a charity, we are more than happy to put forward a reasonable offer to any of our artists or celebrities, even if it is below their usual fee. The final decision on whether to accept your offer lies with them.

I want to hire a DJ for a party – can you help?

Yes, we can help you to hire a DJ for a party. We are an event DJ agency and we take bookings for commercial, corporate and charity events as well as for private events.

In your initial booking enquiry, please tell us as much as you can about the party you have planned, including the size of the venue, the location and your preferred dates.

If you are unsure of who to book, we will be happy to advise you on DJs who will suit your requirements and be available for event. Just tell us a little more about your preferred music genre. We do not pass on any personal requests for appearances or autographs to the artists or celebrities on our rosters. We receive dozens of requests each day and are unable to respond to them.

Is MN2S taking on new artists? Who should I contact?

As music agents looking for talent, we are always interested to hear from both established and up-and-coming musicians, vocalists and DJs who need a booking agent.

We know that there are many music agents in London to choose from. What sets us apart is our global network of event promoters, our connections in the music production and music distribution industries, and our highly efficient logistics and administrative teams. They are critical to smooth events, and getting our artists paid on time.

As entertainment booking agents, what services and support do you provide me as an artist?

We manage bookings and identify opportunities for all the artists on our rosters, and we will market you to our global network of event promoters. With connections in more than 100 countries, and a detailed knowledge of the venues, festivals and events that exist, we target our promotions according to your sound and your ambitions.

As musicians’ agents, we deal with all the logistics related to your booking. This includes flights, transfers to and from the airport, accommodation and visas. We also make sure that all technical and hospitality requirements are clearly set out as a part of the booking contract.

Our booking agents negotiate fair fees on your behalf, and ensure that you are paid promptly. In most cases you will receive 50% of your total fee at least one month before the performance. You will receive the balance payment the day after the performance. These payments will be made directly into your bank account.

We do not provide tour managers, but the agents in our entertainment agency’s London offices are on hand to help deal with any emergencies. For example, if a flight is delayed or you miss a flight, we will help you to organize an alternative and adjust the rest of your itinerary.

Do you only include UK and US artists on your rosters?

We will be happy to consider adding you to our roster no matter where you are based. We currently manage bookings for DJs and live music artists from many different countries.

Marketing and merchandise

How do I get an artist press pack or promotional materials?

When your booking is confirmed, you will be able to download all the available promotional materials via the artist’s page on the MN2S website.

We will send you the link and the login details.

Assets may include high-resolution photographs and logos, reviews and biographies. The design files are available in various formats to make them easy for your graphic designer to use.

Any promotional artwork that you create for an event where one of our artists is appearing will need to be signed off by the artist’s booking agent.

How do I organize artists’ merchandise for an event?

We will discuss merchandise when we agree the booking contract. We will then put you directly in touch with the artist’s merchandise manager to arrange the details.

Can MN2S help me get a comedian’s contact number?

Unfortunately, we can’t release any personal information relating to any of the names on our roster to the public. If you’d like to discuss working with any of our comedians, please get in touch through our enquiry form.

How much does it cost to book a comedian?

Does MN2S handle international talent bookings?

Yes we do. Our global connections are one of the things that sets us apart from many other UK- and US-based talent management agencies. Digital music distribution

If I use your digital music distribution services, when should I submit releases?

We need you to submit your release to us at least three weeks ahead of the official release date. This gives us enough time to meet the deadlines set by the leading music streaming services and digital music distribution outlets. Without this three weeks’ lead time it will be far harder for us to secure any significant coverage for your release.

When you send us the release, you should also send us a detailed summary of your promo campaign. This includes any biographies, articles, press releases, blogs and reviews, a list of radio plays, a list of your social media profiles and the number of followers you have for each, and any positive reactions from DJs or music journalists on social media. We will then package this information into the best format for each digital retailer.

If it’s at all possible, submit your release and promo materials to us sooner than three weeks before the release date. The more time we have to work with the information, the better.

We have a division that specializes in PR for label services. If you do need support in this area, let us know. We can manage the promotional campaign for the release on your behalf if required.

Can you get my music on iTunes and Spotify?

Yes we can. We deliver to all major stores and streaming sites, including iTunes and Spotify, and we will tailor the release to suit your needs.

Payments

When and how will I be paid?

The industry standard is to pay in quarterly instalments. We process our accounts and pay royalties monthly where payments have been received.

At the end of each month we will email you a statement with the latest figures. This will include any income from PPL, royalties from compilations, direct sales from music distribution, and one-off payments for licensing agreements.

You then need to invoice us for the total amount shown on the invoice. You should only invoice us once the balance is greater than £50. If your statement reads less than £50 the amount will roll over to the next month. If the amount is greater than £50 but you do not invoice us, the unpaid balance does not automatically roll over to the next account, so please invoice promptly.

We aim to pay all our invoices within 48 hours. Payment is via bank transfer, so please include your bank account details on your invoice. We do not pay via cheque.

Payments may be delayed if your invoice does not have the correct information on it. As a minimum your invoice should include: our name and address; your label’s name and a physical address; the date; a unique invoice number; the period you are invoicing for; and your bank details – account name, bank’s name, account number and sort code.

What royalties can you collect on my behalf?

We collect your royalties from PPL. They collect royalties in the UK and internationally. These royalties are collected for music played on the radio, in businesses and other public premises, on YouTube, and on certain internet radio stations and digital on-demand streaming services. We invoice for your PPL payments regularly and chase up on unpaid royalties.

The monthly balance on my label statement is less than £50, should I invoice?

No. You should only invoice us once your balance is greater than £50. We pay monthly where payments have been received, providing the royalties amount to more than £50. If your statement reads less than £50 the amount will roll over, until the balance is greater than £50.

Starting a label

I want to start a label – what do I need to do?

If you want to start a record label we can support you from set up to worldwide music distribution.

The first step is branding your record label. You need a name that is unique and a logo that works well for marketing and digital distribution. Our branding team can assist you with this.

Next, you need to have the necessary legal agreements in place with the artists you collaborate with, including backing artists, song writers and DJs. Again, we can draw up the necessary contracts and advise you on legal matters around this.

It’s a good idea to have your releases registered with PPL, so that you can collect royalties when your tracks are played in public or on the radio. As registered members of PPL this is something we can do for you very quickly, saving you a lot of administration.

If you want to succeed, you also need to have a label launch strategy in place. This is to ensure that you have enough releases to build some momentum for your label. Without one it can take much longer to develop a name for yourself. Our label services agents have advised dozens of labels on this, and can help you plan your release dates and work with you to develop a solid, attention-grabbing strategy that builds your label brand from the start.

When it comes to releasing your first tracks, we submit them to all the major digital music distribution outlets online, including iTunes, Beatport, Shazam, Traxsource and Spotify. MN2S is an established brand in the music industry, known for working with respected labels, DJs and artists. This works in your favour when we deliver your releases, ensuring that your music is taken seriously.

Do you programme music festivals outside of the UK and the US?

We programme music festivals anywhere in the world. We have experience of programming events in a number of different countries, and our experience as an international booking agency means we know what’s involved in booking talent in many different countries.

Can you book me an artist who isn’t on your live music roster?

Yes, we programme events that include many artists who appear on our competitors’ rosters. We always make our programming suggestions based on your requirements and not on who is easy to contact and secure.

I’m establishing a new live music venue, can you help programme for it?

Yes, we can help you devise a programming strategy for a new live music venue. We will have a lot of questions about your objectives, your target audiences, your proposed ticket prices, and your business model. Based on that we can draw up a plan and a list of suggested artists who can bring in the right audiences for the right price.

Do you programme private events?

Yes, we do. Contact a member of our Programming team to discuss what you need.

Can you write and distribute a press release for me?

Yes, our PR division can produce your press release and target the most relevant media outlets to share it with.

Who will be my main point of contact during my PR campaign?

You will have an MN2S PR account manager, who will work with you to design your PR campaign. They will be available to handle any queries you may have, and will update you regularly on the coverage and impact the campaign achieves.

Is social media included in your PR services?

At MN2S have a social media division. When planning and implementing a PR strategy or a one-off campaign we can merge traditional PR approaches with social media if required, combining them to extend our reach.

How will I know what my PR campaign has achieved?

We monitor the media closely and will update you regularly on any confirmed coverage.  You will receive a detailed PR report every two weeks of the campaign. These reports will include information on the media outlets we approached and the feedback they gave us.

At the end of your campaign you will receive a clippings document with evidence of all the coverage the PR campaign achieved.

How do you charge for your PR services?

We charge a fixed fee for our PR services that we agree up front. This is calculated based on your objectives and the number of deliverables included in the campaign. Because all our work is tailored to what you want to achieve, we can design a PR package to fit your budget. Payment is made up front, at the start of each month of the campaign.

How much information will I need to give you on a day-to-day basis if you manage my social media?

This depends on you and your business. We can create a lot of content based on our knowledge of you and your brand. However, having near-to-real-time  images and comments do help us in certain situations. Just send your images to your MN2S social media account manager and we will crop, edit and post them to the most relevant channels at the best possible time.

How do you measure the impact of your social media services?

In our initial briefing we will agree with you what you want to achieve and how we can measure the performance of our services in relation to your goals. We then use social media analytics to measure the reach and response to specific social media campaigns and to track what type of posts or interactions work best in getting you closer to those goals.

How do you charge for your social media management services?

We charge a set monthly fee if you want on-going support. This is calculated based on how many channels you want us to manage and what your overall goals are.  

For managing stand-alone social media campaigns, we charge a fixed project fee.

Do you manage social media advertising campaigns?

Yes, we can manage your social media advertising on any social media channel, including Facebook.

How regularly do you report back on the impact of your social media services?

For most clients we report back once a month. However, if you need more frequent updates on how your social media is performing, we can update you weekly.

Do you work across more than one social media channel?

Yes we do. We can manage your profiles on Facebook, Instagram, Twitter, Snapchat, YouTube, SoundCloud, LinkedIn and Pinterest. We will help you select the most suitable channels for your audience and your goals.

Do you manage social media for businesses?

Yes we do. Besides managing social media for music artists, DJs, record labels and celebrity personalities, we also work with a variety of brands and businesses, mainly, but not exclusively in the lifestyle and entertainment sectors.

Do you run one-off social media campaigns?
